University delays full implementation of Paycom payroll system for student employees until summer

The payroll system for student employees recently underwent significant shifts. Last November, the university notified student employees of a switch from Self-Serve Banner to Paycom, effective Dec. 16. 

However, the change did not take place in December as planned. 

While employee payment through Paycom was implemented on Feb. 1, Self-Serve Banner is still used to log hours, according to Human Resources Employment Specialist Claire Moore. 

She says the delay in switching to timekeeping systems for student employees was made to reduce the strain on campus resources, including our HR and payroll teams, and to support student employment supervisors through the transition. 

The delay was communicated to student employees via email on Dec. 23. 

A complete switch to Paycom, including all student employee timesheets, will instead occur this summer and next fall, according to Human Resources Generalist Sam Tek.

The postponement of the switch confused some student employees at the start of the semester, including Associate Director of Tutoring Services Chloe Terrell’s peer tutors.

However, while Terrell was concerned about training her co-pilots on the new system, she believes the delay in switching to Paycom will allow time for training. 

To ease the transition, Moore says that employee training sessions will be available online and in person to ensure student employees understand the new system. More information on these sessions will be released near the end of the spring semester.

For Moore, the hope is that the full switch to the new system will streamline payment for student employees.

“We decided to switch over to the new payroll system specifically to be in compliance with labor laws and [state] regulations,” Moore said. “Self-Serve Banner just wasn’t as efficient as it was in previous years.”
